Set up discovery states for your workflow

Create, rename and reorder the states your discoveries go through, and see where they're used across Harvestr.

Written by Marina Salmon

Every discovery has a state that tells your team where it stands: just in, planned, in progress, shipped. Harvestr comes with a set of states, and you can adapt them to the way your team works.

States and state types

Each state belongs to one of four types:

  • Unstarted: not picked up yet, for example New

  • Started: being worked on or committed to, for example Planned or In progress

  • Completed: done, for example Shipped

  • Closed: dropped, for example Closed (duplicate)

You name your states however you like; the type is what Harvestr uses behind the scenes, for roadmap progress, notifications and views.

Customize your states

Go to Settings > Discovery states. From there:

  • Add a state: click Create a new state, give it a name, a type and a color.

  • Rename or recolor one: click it.

  • Reorder: drag and drop. The order is the one your team sees in the state picker and in kanban columns. Dropping a state under another type changes its type.

  • Choose the default state: the one new discoveries start in.

You can also jump there from any state picker, with Manage states.

Delete a state

Click the state, then Delete. Harvestr asks which state to move its discoveries to, so nothing is lost. The default state can't be deleted, and each type keeps at least one state.

Where states make a difference

  • Discovery views: filter and group by state, or use a kanban with one column per state. Completed and Closed discoveries older than 7 days are hidden by default to keep views fast; click Load older discoveries to see them.

  • Roadmap: a project's Progress bar is based on the states of its linked discoveries.

  • Feedback loop notifications: notify the people who sent feedback when its discovery reaches a state you choose, or any state of a type. See Close the loop with feedback loop notifications.

  • Engineering tools: Jira, Linear and GitHub can move a discovery to a state when its issues change. See Link your engineering issues to discoveries.

A good starting point

Keep it short. Most teams do well with something like New, Planned, In progress and Shipped. Every extra state is one more decision for whoever triages, and one more column to scan.
